AGM & Meetings

Meeting Notice

The written notice package delivered to owners before an owners' meeting, including date, location, agenda, proxy form, and material required by the Condominium Act.

In plain language

Owners cannot be surprised by a binding vote. The meeting notice tells every owner when the meeting happens, how to attend (including virtually if offered), what business is on the agenda, and includes a proxy form for owners’ meetings.

Notice timing and content are set by the Condominium Act and your declaration and bylaws. Short notice or missing proxy forms can invalidate the meeting process.

Typical contents

  • Date, time, and place or electronic access instructions
  • Agenda or description of business
  • Proxy form and submission instructions
  • Financial statements for AGMs when required
  • Wording of bylaw amendments or other motions to be voted on
