Short definitions for AGM, quorum, proxy, electronic voting, and related terms.

AGM & Meetings

AGM: Annual General Meeting — a yearly owners' meeting where the condominium corporation presents financial and operational reports, elects directors, and addresses owner business.
Hybrid Meeting: An owners' or board meeting where participants may attend in person and remotely through a simultaneous virtual platform.
Meeting Notice: The written notice package delivered to owners before an owners' meeting, including date, location, agenda, proxy form, and material required by the Condominium Act.
Owners' Meeting: A meeting of the condominium corporation's owners — or their valid proxies — to conduct business reserved to owners under the Act or governing documents.

Candidate Nomination: The process by which an eligible person is formally proposed as a candidate for election to the board of directors at an owners' meeting.

Proxy: A written authorization from a condo owner appointing another person to attend an owners' meeting and vote on the owner's behalf.
Quorum: The minimum number of voting units that must be represented at an owners' meeting — in person, by proxy, or by other permitted means — before the meeting can conduct substantive business.
Voting Unit: Each unit or parcel defined in the declaration that carries one vote at owners' meetings, unless the documents provide otherwise.

Board Director: An individual elected or appointed to serve on the board of directors of a condominium corporation, with fiduciary and care duties under the Condominium Act.
By-law: A governing document of a condominium corporation that regulates administration, meetings, board composition, and other operational matters consistent with the Condominium Act.
Condominium Corporation: The legal entity created upon registration of the condominium declaration, responsible for managing common elements and governing the property on behalf of owners.
Minutes: The official written record of a condominium board or owners' meeting, documenting attendance, proceedings, and resolutions passed.
Rule: A rule is a binding standard adopted by a condo corporation to govern the use of units and common elements.

Common Elements: Portions of the condominium property that are not part of any individual unit, owned collectively by owners through the corporation and maintained from common expenses.

Electronic Voting: A voting method where owners cast ballots through a digital platform rather than solely by paper ballot or show of hands.
