Candidate Nomination Checklist

Checklist for accepting, verifying, and publishing director candidate nominations for Ontario condo elections.

Use case: Use during the nomination period before an owners' meeting where directors will be elected.

Before nominations open

  • Confirm election date and number of open director positions
  • Review eligibility rules in declaration and bylaws
  • Prepare nomination form or written nomination requirements
  • Prepare candidate consent and disclosure form
  • Set nomination period dates and publish in meeting notice

For each nomination received

  • Candidate name and unit number recorded
  • Nominator is an eligible owner if required by documents
  • Seconding nominator obtained if required
  • Written consent to serve signed and dated
  • Candidate meets age, occupancy, or other qualification rules
  • Conflicts of interest disclosed (related contracts, management ties)
  • Candidate biography collected if corporation distributes statements
  • Acknowledgment sent to candidate and nominator

Closing the nomination period

  • Nomination period closed at stated deadline
  • Final candidate list verified by board or management
  • Determine acclamation vs contested election for each position
  • Publish candidate list to owners within required timeframe
  • Prepare ballots or electronic ballot configuration for contested seats

Floor nominations at meeting (if permitted)

  • Chair confirms floor nomination rules before election item
  • Verify candidate consent obtained before vote
  • Update ballot or voting system if floor candidate added
